Third-party Software Intergrations

Third-Party Software Integrations

Make your systems talk to each other properly, for once.

Your CRM, your booking system, your finance software: they should share data automatically. Our API integration services make that data flow properly, instead of you moving it by hand.

For Marketing Leads, CTOs & Business Owners

Stop copying and pasting between systems

If you've ever exported a spreadsheet from one platform just to import it into another, you already know the problem. Marketing leads want campaign data flowing into the CRM without a Tuesday afternoon lost to manual entry. CTOs want stable API connections to third-party APIs that won't fall over the next time a vendor pushes an update. Business owners just want the numbers on the dashboard to be right, first time, without someone chasing them down.

We build website integration services and CMS integration services that connect the tools you already use and rely on, rather than replacing them. That means your CRM, payment provider, booking system, marketing platform, internal database, or any other use case specific to how your business operations actually run, all pulling in the same direction, backed by a delivery process that's honest about timelines, tested properly before launch, and built to survive the next vendor update. If what you need doesn't fit neatly into any of that, it's often where our custom web app development work picks up instead.

Why Teams come to us?

"Our systems don't talk to each other."
We build the API integration that connects them directly, so data moves automatically instead of getting rekeyed by hand every time something changes.
"Every integration we've tried has broken within months."
We build for the update, not just the launch. Proper error handling and monitoring mean a vendor's API change doesn't take your website down with it.
"Nobody in-house understands how it's wired together."
We document everything as we build, in plain English, so your team can see exactly what talks to what without needing us to translate it.
"We're stuck with a platform because ripping it out feels too risky."
We can usually integrate around an awkward legacy system rather than replacing it outright, keeping the connected systems you rely on intact while we fix what doesn't work.

The Gecko Way™

Our approach to successful projects

Before we write a line of integration code, we map out exactly which systems need to talk to each other and why. That means sitting down with whoever actually uses the CRM, the booking tool or the finance software day to day, not just the person who commissioned the project. We ask what's manual right now, what breaks most often, and what "working properly" would actually look like from their seat. For a third-party software integration, this stage also means getting under the bonnet of each platform's Application Programming Interface (API) documentation early: checking whether authentication runs through an OAuth flow or a simple authentication token, what rate limits apply, and the data model and specific API calls we'll actually need, before we promise anything.

Every system has quirks, and API integrations live or die on spotting them early. We check what each platform's API can and can't do, whether there are sensible webhooks or whether we're stuck polling for updates, and where the edge cases are likely to bite (duplicate records, failed payments, mismatched fields). We flag anything that changes scope or cost honestly, before it becomes a surprise on an invoice. This is also where we decide the right shape for your setup: a direct connection against a REST API, a middleware platform, an API gateway, or a custom-built connector, and whether an off-the-shelf integration platform as a service actually earns its place or just adds another thing to manage. A single system needs a different answer to a hybrid environment of several platforms split across the cloud and your own servers, or a setup already built on a microservices architecture, so the approach adapts to what's actually there rather than what's easiest for us.

This is where the integration gets built, tested against real data (not just tidy sample data), and checked for what happens when things go wrong, not only when they go right. A failed sync should tell someone, not fail silently for three weeks until finance notices the numbers don't add up. We build in logging, alerts and proper integration observability as standard, with configuration settings kept somewhere your team can actually find them, so problems surface immediately rather than becoming next quarter's mystery.

Once it's built, we don't disappear with the documentation locked in our heads. We walk your team through how the integration works, what to check if something looks off, and how to read the logs if you want to self-diagnose before calling us. You get a written record of every connection point, every field mapping, and every assumption we made along the way.

An integration isn't a one-off job, it's a live piece of infrastructure that needs watching. We keep an eye on things after launch, particularly around any API version changes on the third-party side and the API lifecycle of anything we've built on, alongside the ordinary housekeeping like identity management, multi-factor authentication and security updates on the connections themselves. We're on hand if a vendor update needs a quick fix. You own the integration outright; we're just the team that keeps it running smoothly.

What's Included in an API Integration Service

CRM Integration

Leads shouldn't sit in a website form for hours before someone in sales sees them. We connect your website and CMS directly to your CRM, so every enquiry, quote request or contact form submission lands where your sales team already works, tagged and mapped correctly against the fields you actually use.

That includes syncing existing customer records both ways where it's useful, so a change made in the CRM reflects on the client-facing side too. We've built these connections for teams running everything from well-known CRM systems to bespoke in-house builds, and we always test the sync with real records before switching anything live.

Payment Gateway Integration

Getting paid should be the easy part. We integrate payment providers directly into your website or CMS, handling the technical requirements around security, PCI compliance and error handling so a failed transaction gets caught and flagged rather than silently lost.

Whether you need a single payment provider wired in cleanly or multiple options offered at checkout, we build it to handle the messy real-world cases: expired cards, partial refunds, currency differences, and the customer who tries to pay twice by accident.

Booking & Scheduling Systems

If your business runs on appointments, consultations or bookable slots, that calendar needs to reflect reality in real time. We connect your website to your scheduling software so availability updates instantly, double-bookings don't happen, and confirmation emails go out automatically without someone manually checking a spreadsheet.

Where it's useful, we can also sync bookings back into your CRM or calendar tools, so the same appointment doesn't need entering twice.

Marketing & Email Platform Integration

Your marketing platform is only as good as the data feeding it. We connect your website and CMS to your email marketing or automation tools, so form submissions, purchases and behavioural triggers flow through automatically to build proper segmented lists, rather than relying on manual exports. That means welcome sequences that actually trigger on signup, abandoned basket emails that fire when they should, and marketing data your team can trust without double-checking it first.

It's also where we connect analytics tools and, increasingly, AI tools doing the heavy lifting on segmentation, so you can see the full customer journey and get real-time analytics on what's actually working, rather than a guess based on last month's export.

ERP & Finance Software Integration

Orders, invoices and stock levels shouldn't need re-entering between your website and your finance or ERP system. We build integrations that keep the two in sync, so an order placed online updates your stock systems automatically, invoices generate without manual intervention, and your finance team is working from the same numbers as your website.

We pay particular attention to what happens at the edges here: partial stock, cancelled orders, refunds, since these are usually where manual processes were quietly patching over gaps.

Custom API Development

Sometimes there isn't an off-the-shelf integration for the tool you're using, or the one that exists doesn't do quite what you need. In that case, we build a custom API connection from scratch, tailored to exactly how your systems and teams work, sitting alongside our wider custom feature development work where the two overlap.

That might mean writing a bespoke endpoint for an internal database, connecting a Google Maps API or another geolocation tool so customers can see real locations rather than a static map, building middleware to translate between an order management platform and a ticketing platform that were never designed to talk to each other, or extending an existing integration with functionality the standard version doesn't offer.

"When we plug a new CMS into a client's booking system or CRM, the win is nobody on their team has to double enter data anymore."

Cristiano Martins, Senior Full Stack Developer at Gecko

Integration Case Study

We recently rebuilt a client's booking system integration from the ground up after years of manual re-entry between their website and internal calendar. The old setup relied on someone checking two systems every morning and copying appointments across by hand, which meant errors, double bookings and the occasional missed client altogether. Once the new integration went live, bookings synced automatically in both directions with zero manual intervention required.

FAQs

An API integration is a connection we build between two (or more) pieces of software so they can share data automatically, without anyone manually moving it between them. If your website takes a booking, an API integration is what tells your calendar system that slot's no longer available, updates your CRM with the new contact, and sends a confirmation email, all in the seconds after someone clicks submit. Not every API integration service provider will tell you plainly when something isn't technically possible. We will.

Most things with a documented API, which covers the large majority of CRMs, payment gateways, booking tools, email marketing platforms, ERP systems, and other third-party applications and finance software on the market. If a platform doesn't have a public API, we'll tell you honestly rather than promising something that isn't technically possible, and we'll usually be able to suggest a workaround.

No. Umbraco is our home turf, and it's where you'll find most of our CMS development work, but API integrations aren't tied to any one CMS. If your site runs on something else and needs connecting to a third-party system, we can still help.

It depends entirely on the systems involved and how tidy their APIs are. A straightforward CRM or email marketing connection might take a couple of weeks from discovery to launch. A custom integration between systems that weren't built to talk to each other, or one involving payment processing and compliance requirements, will take longer. We'll give you a realistic timeline once we've seen both systems, not before.

This is one of the most common ways integrations quietly break, and it's often where API security gaps creep in too, if authentication isn't kept current. It's why we build in monitoring and alerts as standard rather than as an optional extra. If a vendor changes their API and something stops working, you'll know quickly, and we're on hand to fix it rather than leaving you to discover the problem three weeks later when the numbers don't add up.

Often, yes. Where there's no existing connector between two platforms, we can build custom middleware that translates between them, so data still flows even without an off-the-shelf integration available.

Done properly, no. We build integrations to handle data transfer asynchronously wherever possible, so your website's speed for visitors isn't affected by what's happening behind the scenes with a third-party system.

Yes, always. You'll get a written record of how the integration works, what each connection point does, and what to check first if something looks off, written in plain English rather than pure technical jargon.

CMS integration specifically means connecting your content management system to other tools, whereas API integration is the broader technical method used to make that connection happen. In practice, most of our website integration services involve both: the API is how the connection works, and the CMS is one of the systems being connected.

The best next step is a quick conversation about which systems you need connected and what's currently going wrong. Book a discovery call and we'll take it from there.
